Challenge

From a recruitment point of view, the profile of the Job Seeker is ever changing. The job market is now dominated by generation-Y candidates, who are technologically savvy, need more than just a job to be fulfilled and tend to stay with a company for a much longer period of time. Our challenge is how we attract the right candidate and how we match that candidate to the right role. Our first E-recruitment system provided the basic platform for external and internal applicant processing but could not provide specific solutions, flexibility and customisation. We needed a company that could provide us with an innovative E-recruitment solution that is user-friendly to the end user, which is why we turned to PNet.

Solution

In 2013 we made it known that we were looking for a new service provider to develop and host our E-recruitment system. Over a period of two months we met with several potential companies that develop E-Recruitment systems. The decision to go with PNet was an easy one for the following reasons:

• Previous projects they had embarked on with large, reputable companies in SA.
• PNet could provide us with a fully integrated system that could migrate our existing data base of applicants from the previous service provider.
• Ability to run Management Information system reports at any time and the data must be able to be exported into our system.
• Innovative add-on’s, such as a mobile app to allow our staff to apply for internal vacancies on the go.
• The system could allow for a questionnaire to be created by the recruiter, with scoring functionality to reduce the time spent on screening CVs  that are not suitable.
• PNet is Gauteng based so on-going face to face support was not a challenge.
• Structured training provided to the administrators prior to the system going live.
• Exceptional account managers in terms of providing feedback and understanding the PNet product were assigned to our project and account.
• Email and telephonic support in terms of customer care for both administrators and applicants.
• User friendly system for the recruiter and end user (applicant).
• Ability to search for key words on the entire database/talent pool.
• PNet was a mirror of our own organisational culture and values.

Challenge

Because of the nature of the operations, Unitrans had a decentralized recruitment process. This in turn caused a number of concerns including an extended time to hire period and a limited control over the quality and cost of hires. They also faced challenges implementing certain policies and procedures and inaccurate reporting and data analysis.

Solution

Unitrans moved from a decentralized recruitment environment to a central HR services centre. The HR team, in conjunctionwith the PNet solutions team designed and implemented an Applicant Tracking System that not only centralized the recruitment function, but also optimized the recruitment and portions of the on boarding process.

By aligning the solution with the organization’s policies and procedures the project team were able to not only reduces the total Time to Hire but also managed to show a substantial reduction on the total cost of hire. The solution enabled the HR team to engage more effectively with Line Mangers, Internal Applicants as well as External Applicants. Data from the solution now allows the HR team to further optimize recruitment strategies and address areas of concern early and effectively. The Applicant Tracking Solution currently forms a critical part of the day to day operations within the organization and has recently been up scaled to form part of the larger group of companies.
